How to name, manage, and assign IATA codes

WebCargo’s IATA selection tool allows you to create names and choose which IATA codes are the most important for certain circumstances.

This tool will come in handy if you have multiple IATAs within your account, or you are a multinational freight forwarder, and you need to select an IATA code for a specific office, branch or users. Find out in this article how to use this tool.

If you have a paid WebCargo Rate & Quote Air pack, open the side menu, then click on User ManagementLocal users, and select IATA codes.

For WebCargo Book users with a free pack type, open the side menu, then select IATA codes, from within the Tools section.

The first action you can perform is to add a name, or alias, to a specific IATA number, so it is easily identifiable when searching for flights and rates. If you have a paid pack, you can select specific airports, so IATA numbers can be used to search for rates from them.

Choose a specific airport from the dropdown list. When hovering on the list, scroll down to see all available airports. You will only be able to see airports for the country your account is in (e.g. UK - MAN, LHR, LGW etc)

Alternatively, select All if it applies to all airports within your account’s country.

After selecting which airports the IATA code should be available for, you can then create an alias for that IATA code so that users on your account know what it should be used for.

Scroll down to the bottom of the IATA list and click Save once you’ve made the changes. A pop-up will appear stating that it has been successful.

To see this IATA code's new alias, click on the New eBooking tab, enter your shipment details to follow the normal eBooking search process, and then select the IATA code from the dropdown.

Applying an IATA code for specific branches

If you have previously created branches for your account, you can assign specific IATA codes to said branches by selecting the IATA code dropdown and choosing each code.

Click Save once you’ve selected the corresponding IATA codes for the branch.

Choosing an IATA code for specific users

Finally, you’re able to assign specific IATA codes for individual users if you are an admin or a super admin. Use the search bar to search for a specific user using their name, email address, branch, or group. Alternatively, you can do so by looking at the User list.

Once you’ve found the user from the list, click on the Default IATA code dropdown and select the IATA number that you want to be associated with this user. Then click Save.

This user will now only be able to make searches for live rates and capacity using the selected IATA code.
