User Rights, Roles & Permissions


Administrator

The Administrator role has unrestricted access to all modules and content within PROCURE, including the ability to view, use, and edit every area of the system. Due to these extensive permissions, this role should be assigned only to PROCURE system administrators on the provider side.



Key User

The Key User is the organization’s primary application expert and is responsible for managing access permissions for other users. This role typically supports procurement events and/or rate management activities, although this is not mandatory.

Key Users have access to:

  • All modules required for daily operational work
  • User management functions
  • Configuration tools for value types and text elements


Key Users do not have access to modules related to the core setup and configuration of the application, ensuring proper separation between operational and administrative responsibilities.



User

The User role is primarily responsible for managing tenders and rates within the system. Users have access to the following modules:

  • RMGT (Rate Management)
  • EPro (eProcurement)
  • Freight Calculator
  • SRM (Supplier Relationship Management)
  • Documents


Users can only view and manage requests that they have created themselves or for which they are specifically designated as the contact person. While Users can initiate most standard processes, they cannot perform Approval of Budget (AoB) actions, which must be completed by a superior role such as a Key User.



RMGT and FC Freight Calculator User

This role is designed for users who need to manage rates but are not authorized to conduct procurement events. It represents a focused use case in which PROCURE is used exclusively for RMGT (Rate Management) purposes.



FC Freight Calculator User

The FC User role is intended for standard sales users and provides access only to the Freight Calculator module. This allows users to obtain freight cost estimates without access to other system functions.



FC User (Air Only)

This role functions the same as the standard FC User role, with one key restriction: access is limited to the Air transport mode only. All other transport modes are unavailable to users with this role.



RfQ Viewer

The RfQ Viewer role provides read-only access to rates in the RMGT module and to Request for Quotations (RfQs). Users with this role cannot edit existing content, create new requests, or make any changes to the system.

Precondition: The user must be designated as a contact person in an RfQ in order to have visibility.



FC Freight Calculator and Spot User (Read Only)

This role is typically assigned to Operations team members. It provides access to the Freight Calculator and also enables users to submit and manage Spot Requests. To support these functions, users with this role have access to both the RMGT and ePro modules.



Super User

The Super User has the permissions and capabilities of all other roles and serves as the key user for the shipper’s account. This role can:

  • Access all contracted modules in the system
  • Use the user management module to add, edit, and remove users, and assign roles


The Super User is the highest-level account with full control over the shipper’s environment.
