How to use the Tariff Manager on WebCargo Ocean

WebCargo’s Tariff Manager allows you to organize your Ocean main leg rates by uploading Excel templates, simplifying the quoting process.

Efficiently managing your ocean freight rates is crucial for seamless operations and accurate quoting. The Tariff Manager on WebCargo Ocean provides a comprehensive solution, allowing you to upload and manage your Ocean main leg rates using Excel templates. This article will walk you through the steps to effectively use the Tariff Manager, to ensure you upload, review, and update your rate files with ease.

To get started, navigate to the side menu and select Rate management



Then expand the Ocean mainleg dropdown and click on Tariff Manager


Here you will see the Files tab, where you will find any files that have been previously uploaded. 

How to upload rates

To begin uploading your rates, drag and drop your file over the table or click Upload file.


A side panel will open on the right-hand side of the screen, allowing you to drag and drop your file or browse your device to select it. Download and fill out one of the provided templates (our standard FOT Freightos templates), for FCL or LCL. Read more about how to fill in these templates in this article


Once you’ve entered all your information into the file, save it and return to the Tariff Manager. Drag and drop your file or select it from your device. 

Once you’ve added your file, you’ll be prompted to choose the Supplier these rates apply to. You have the option to select a specific carrier or, if there are rates for several different carriers, you can choose the multicarrier options. Ensure you specify whether your rates are for FCL or LCL

Finally, click Upload to begin the import process. 


View your file status

Our system will then process your file. While this takes place, the status of your file will be Pending. It may take up to five minutes for the file to be processed, but this will depend on the size of your file. 


Once processed, the status will change automatically to Completed, Error, or Need attention

You can filter all your files by status using the filter on the top left-side. 



A Completed status means that the system has been able to properly process the file and that there are no issues with the uploaded data. 

When the status changes to Error, this means that the system has not been able to read any of the data in the file, such as when the data entered does not match the required fields. In this case, a new file will need to be uploaded. We recommend downloading the template again and re-entering your data, rather than editing and re-uploading the same file, to avoid possible errors. 

For files where most of the data has been properly read, but there are some discrepancies, the status will change to Need attention. In this case, the fields where errors have been found can be corrected without the need to enter all the information again. 


Edit your files

Click anywhere on the row to edit a file. In the case of a file that requires attention, click to see which fields need to be corrected. The rates in these files will not be valid or quotable until they are corrected and the upload can be completed. The red circular icon indicates which rates need to be reviewed, alongside incorrect details highlighted in red.


For larger files, toggle the Show only errors option to only display rates with errors that need to be corrected. 

The data can be edited manually, simply by clicking on the field. In the example below, a new date can be selected. 

To edit several rates at once, use the Find and Replace tool.  

This will open a pop up where you can select which column needs to be edited. 

Once the column is selected, enter the value that needs to be corrected and the data with which it needs to be replaced. 

Finally, select whether you want to Replace the date one by one or Replace all, then click on Done

Once the data is corrected, the red icon will no longer appear next to the rate. 

Click on Upload to update the corrected data within the system. 

You will then see the status change from Need attention to Completed

Get an overview of your files

You can quickly view the number of rates each file contains, as well as how many are currently valid and how many have expired. Hover over the numbers in the Rates column, under Mainlegs to see more details. The example below shows that out of the 4 rates in the file (shown in bold), 4 are valid (shown in green), 0 are out of date (shown in red) and there are 0 future rates (shown in black). 


The Valid from and Valid to columns provide specific dates or display Multiple for files with rates having different validity periods.

Under the Linehauls column you can also move your mouse over the numbers to see how many are Pre-carriage and how many are On-carriage.

Click on any FCL file which includes Linehauls to edit. You’ll see three different tabs, showing Mainleg, Pre-carriage and On-carriage rates. 

As previously mentioned, click on any field to edit, whether on the Mainleg tab, or the Pre-carriage or On-carriage tabs. 

Please note that, as explained above, to successfully link Pre-carriage or On-carriage rates with Mainleg rates the container type, commodity, origin and destination, and validity must match between the Mainleg and either the Pre-carriage or On-carriage segments. Furthermore, if the Pre-carriage or On-carriage rates are tied to a specific contract, only the Mainleg rates within that same contract can be connected.

If you have uploaded different Units of measure for different surcharges, you will see this reflected within the file on the Tariff Manager. 


For any rates you’ve uploaded with Common Charges, this will be reflected within the rate on the Tariff Manager in purple.

View your individual rates

Switch to the FCL tab to view all individual FCL rates from your uploaded files.


Or select the LCL tab to view all individual LCL rates from your uploaded files.
