Submitting Your Quote

Once you have opened the RfQ, follow these steps to download, complete, and submit your rates:


1. Download the Rate Sheet

Navigate to the Rate Sheets section and click the Download button next to the relevant file. The download will start automatically.



2. Guidelines for Filling Out the Rate Sheet

Before entering your rates into the exported Excel file, please follow these structure guidelines:

  • Yellow Cells (Mandatory): Required fields—you must enter data here.
  • White Cells (Optional): Optional fields—enter data if applicable.
  • Grey Cells: Locked/non-editable fields—do not enter data here.
  • Do Not Modify File Structure: Do not add, remove, or reorder columns/rows.


Important Note: Customer-specific validation rules may apply. Under certain tender instructions, some white (optional) cells may be required. Always review the shipper's tender instructions carefully.


Tip: Hover your mouse cursor over the Excel column headers to read helpful tooltips and comments explaining what data is expected.




3. Upload & Validation Process

  1. Upload Your File: Drag and drop your completed rate sheet into the designated area, or click to browse and select the file from your computer.


  1. Automatic Validation: Once uploaded, the platform automatically validates your file against the shipper's formatting rules. You can view the upload and validation progress directly below the rate sheet.



Handling Validation Errors:

  • If any data is missing or incorrectly formatted, an error message will appear.


  • Click "Click here to fix your rate sheet" to download an error report. The cells needing correction will be highlighted in red with comments explaining the issue.


  • Once corrected, simply upload the file again. It will automatically overwrite the previous data.


4. Submitting Your Proposal

  • Drafts: All uploaded rates are automatically saved as drafts. If you only complete part of the rate sheet, you can log off and return later to upload the rest.


  • Final Submission: Once all rates are filled and uploaded, click the Submit button. Your rates will only be published and made visible to the shipper after you click Submit.



Troubleshooting: If you cannot see the Submit button, adjust your browser's zoom level. Try zooming out to 100% (or lower) to bring the button into view.



Declining Participation

If you choose not to participate in the tender, click the Decline button. This will update the system status and automatically notify the shipper.
