How to add a spot rate

Creating a spot rate can be useful in various scenarios: for example, when you’ve been offered a special rate by an airline or when you’ve requested an Ad Hoc rate on your WebCargo account, it has been approved, and now you want to utilize it.

In this article, we’ll focus on how to create a spot rate from scratch. If you want to find out how to convert an ad hoc request into a spot rate, read this article.

In order to create a spot rate, first make a rate search as you normally would. You can either make a search directly from the homepage or expand the side menu and select New Rate & Quote.

Enter your origin, destination and any other information you have available, then click Search all rates.

There are two main ways to add a spot rate:

Option 1: Manually Add a Spot Rate

After completing your rate search, click the + symbol at the top of the rate results list. Use this option when you’ve received a consol tariff or a quote that isn't available on the platform.

You’ll see a blank form. Start by selecting the GSA, which allows the system to pull the current static rate and other relevant information about the rate.

Fill in the Product Name, choose the currency, set the validity period, select the service type, and specify whether it’s a spot rate.

After entering basic information, you can add weight breaks and surcharges.

Specify rates for each weight break, include surcharge costs, and decide whether these apply to chargeable weight and whether the rate is all-in.

Attach any supporting documents, such as a formal quote or document showing that this rate has been negotiated beforehand. Then click Add.

Your new spot rate will appear under the chosen airline’s rate results, highlighted in blue. It will display under the Product column, with the name you've entered.

Hovering over the "i" icon will give you a breakdown of the rate, including the user who added it, the validity period, surcharges, and any internal notes.

To delete the spot rate, click the trash can icon. Important: it will not ask for confirmation to delete it, only click this icon if you are sure you would like to delete the rate.

To edit it, click the pencil and paper icon. You will see a pop-up to modify the rate.

If you wish to use the rate in a quote, tick the box beside the rate and follow the normal quote creation process.

Option 2: Add a Spot Rate Directly to Search Results

The second way to add a spot rate is directly to the search results for a specific airline and GSA, you can do this by finding the relevant rate from the results. Then, click on the + symbol in order to add the rate.

The airline name and GSA should automatically be added. You’ll need to add the rest of the details as explained above. Enter your weight breaks, any surcharge information, and any supporting documents, then click Add.

Once added, your spot rate will appear under the airline’s rates.

To select this rate for quoting, tick the checkbox beside it and follow the normal quoting process.
