How to Create a Spot Request

Step 1: Start the Request

Create your Spot Request quickly using row selection:

  1. Navigate to Rate Management.
  2. Select a row from your profile.
  3. Click Start Spot Request v2.



Step 2: Define Origin & Destination

In the pop-up window, define your shipment route (From / To):

  • Location Type: Choose between Port, Airport, or City.
  • ZIP Code: If you select City, entering a ZIP code is required.
  • Route Details: Complete all mandatory and optional fields.

Complete all required and optional fields. Click Draft to save your progress for later, or click Next to move to the next step.


Step 3: Cargo Specifications

In this tab, specify the details of your cargo:

  • Equipment Type & Quantity
  • Dimensions & Weights (Actual Weight and Chargeable Weight)
  • Dangerous Goods (if applicable)
  • Additional details (as required by your profile)

Note: Depending on your profile configuration, you may see additional fields such as Incoterms or THC, etc. To enable or request extra fields, please contact your Onboarding Manager.



Step 4: Additional Information & Settings

Fill in the required operational details:

  • Spot Timeline: The time window in which suppliers must submit their bids.
  • Pickup – Delivery (Valid From – Valid To): The validity period of the quote/service.
  • Currency: Select the currency required for the rate.
  • Description: Add any relevant text or special instructions (e.g., scope of work).



Best Practices:

  • Time Zone: Confirm the Spot Timeline matches your browser's time zone.
  • Currency: Ensure the selected currency aligns with your tender and reporting requirements.
  • Clarity: Keep descriptions clear and concise to avoid misunderstandings with suppliers.


Documents & Notifications:

  • Document Upload: You can upload relevant files in two ways:
  • One-time upload: Valid only for this specific Spot Request.
  • Document Library upload: Saved for future requests.
  • Notification Settings: Customize how suppliers are notified.
  • Reminders: Enabling reminders will automatically notify suppliers a set number of days before the bidding deadline (e.g., entering 4 sends a reminder four days before the closing date).



Step 5: Select Suppliers & Launch

Select the suppliers you wish to invite to bid:

  • + Add Suppliers: Search and add suppliers that are not listed in your default groups.
  • Invite: Invite non-registered suppliers directly by entering their email address.

Once your selection is complete, click Launch. Your Spot Request will be sent out immediately (or scheduled based on the timeframe set in Step 4).
