How to use the tenders tool

By using WebCargo’s Tenders tool, you can easily extract large amounts of data, which can help you negotiate better prices with your customers.

Important: This feature is available only for Enterprise or multinational account holders.

In this article, we’ll guide you through using the Tenders tool effectively.

Creating a Tender

Navigate to the side menu: Expand the side menu and click on Rate Management.

Expand the Air mainleg drop-down and select New air tender.

Click the Add a tender button to begin creating a new tender.

After clicking the Add a tender button, you’ll be able to add the necessary parameters for your tender.

General Tab

The General tab is where you add basic information about your client. If the customer already exists, select their name from the Customer dropdown. Then, choose any additional columns to include in the downloadable Excel file. Finally, if applicable, specify any profit margins per weight break.

To enter the profit per weight breaks, select the appropriate boxes and enter the profit either per kilogram (KG) or as a percentage.

Airlines Tab

In the Airlines tab, you can set rules for airlines relevant to this tender. From the Download Options dropdown, choose whether to display all available airlines or only the top 1-5 cheapest airlines per lane.

You can also include or exclude specific airlines by entering their prefix and selecting them from the dropdown. The airline abbreviation will appear in the list.

If you’ve created specific rules for preferred airlines, you can select them here under the Airlines section. Read more about setting your preferred carriers here.

Origins and Destinations Tab

In the Origins and Destinations tab, you can define origin and destination pairs in three ways:

  • Origin Region/Destination Region: Create custom regions within the system and assign them as the relevant origin and destination regions for this tender.

  • From/Destinations: Use specific airport codes (e.g., JFK, LAX, SHA) to set particular origins and destinations. Ensure no spaces are added after commas.

  • Routes: If the tender is valid for specific routes, enter them here, using the airport prefix and separating each route with a dash. List each route on a new line.

Rates and Products Tab

In the Rates and Products tab, you can specify which rates the tender applies to (e.g., Market, Promo, Contract).

And select any specific products you'd like to include.

Email Notifications Tab

The Email for Notifications tab allows you to choose when to be notified about new tender creations or edits. Once all information is entered, click Save.

The tender will be added to your list, which can be found by expanding the side menu, clicking on Rate Management as explained above, then expanding the Air mainleg drop-down and selecting New air tender.

It may take a few moments for the system to collect data from WebCargo.

Viewing and Downloading Tender Data

Once the data has been processed, you’ll see key details, such as:

  • Tender name
  • User who created it
  • Creation date
  • Last download date
  • Number of rows in the downloadable Excel file

The Rows section shows the number of available routes and rates based on your input. Click the Excel symbol to download the list of available routes and rates. The file will include origin and destination information, airline routes, price per weight break, rate validity, and any additional remarks.

Editing, Deleting, and Viewing Activity History

To edit, delete or view all activity history click on the three dots and select an option.

To edit a tender, click Edit. You can add more products, routes, or other details. Don’t forget to click Save after each change. You will receive an email notification each time the tender is updated, including a new Excel file.

You may enable users to edit other team members’ tenders at a company level, meaning this will apply to all users within your company.

Important: Users with different roles will have different levels of visibility over rate types. For example, if a Normal user, who only has access to five rate types, edits a tender created by a Corporate user, who can see 20 rate types, when the Normal user makes any changes the tender will only show the five rate types this user can see. This means the number under the Rows column could change when users with different roles and different rate visibility make any edits.

If any changes are made to the tender, you can see the logs by clicking the three dots next to the tender and selecting History.

This will open a pop-up that shows the different versions of the Tender, the date when this happened and the user who has made the changes.

To delete a tender, click the red trash can icon. Be cautious, as the tender will be permanently deleted once you click it.
